- Provisioning should finish before the employee’s first working day.
- A signed custody acknowledgment makes a later deduction for loss defensible under the Code on Wages.
- The DPDP Act requires reasonable security safeguards for personal data on every device.
- Those security duties apply from 13 May 2027 under the DPDP Rules.

How does laptop provisioning for employees work in India?
It runs in five steps, ideally finished before the joining date.
- Specify: fix the model, memory and accessories by role.
- Source: buy, lease or rent locally in India.
- Configure: enrol the device in management software, encrypt the disk and install the standard apps.
- Deliver: courier it with tracking and get a signed receipt.
- Record: log the serial number against the employee, with a custody form they sign.
Step five is the one teams skip. Big mistake. It matters most at exit, because section 18(2)(c) of the Code on Wages on India Code only allows a deduction for goods “expressly entrusted to the employee for custody”. No custody form, no deduction. That is the link between provisioning and asset recovery.
Should you ship laptops from abroad or source them in India?
Source them in India in most cases. It is faster, simpler and easier to support.
| Route | Speed | Watch out for |
|---|---|---|
| Ship from head office | Slowest | Customs clearance, import duty and delays at the border |
| Buy locally | Fast | Local warranty, Indian keyboard layouts, GST invoice in the right name |
| Lease or rent | Fast | Contract term and return condition |
A classic error is shipping a used laptop from the US head office to save money. It sits in customs for days, then arrives without a local warranty or an Indian invoice to support it. Buy here.
Our comparison of leasing versus buying business equipment sets out the cost trade-off.
What security standards should a provisioned laptop meet?
Encryption, remote wipe and access control, all of them set up and tested by your IT team before the device leaves the warehouse for the employee’s home.
Section 8(5) of the DPDP Act, 2023 requires reasonable security safeguards to prevent a personal data breach. Under the DPDP Rules, that duty applies from 13 May 2027. A lost laptop with an unencrypted disk is exactly the case the rule targets. Encrypt everything.
Clients often ask for ISO 27001 controls on top. For home workers, add the device rules to your work from home policy.
Who owns the laptop under an EOR?
Agree it in writing. Up front. Either the EOR owns it and charges you, or you own it and the EOR handles delivery and custody records.
How does Remunance provision IT equipment for your India hires?
IT and laptop provisioning is bundled with Remunance’s employer of record service, so the device is configured, delivered and logged before day one. Our ISO/IEC 27001:2022 certification covers how we handle the data side. Read about Remunance’s IT infrastructure support for India’s EOR teams for detail. What else do people ask about IT asset provisioning?
What is the difference between provisioning and deprovisioning?
Provisioning sets up devices and access for a new or moving employee. Deprovisioning removes access and recovers devices when they leave.
Should a new hire use their own laptop?
Avoid it for anyone handling client or personal data. You cannot enforce encryption, remote wipe or recovery on a device you do not own.
How long does laptop provisioning take in India?
A few days for a locally sourced standard model. Plan for longer if the device is imported or the specification is unusual.
