Quick answer: Employee offboarding is the managed exit of a departing employee: accepting the resignation, running the notice period, recovering assets, removing system access, paying final dues and issuing exit letters. In India, section 17(2) of the Code on Wages, 2019 makes final wages payable within two working days of the exit.
- The two-working-day rule covers resignation, removal, dismissal, retrenchment and closure.
- Total deductions from wages cannot exceed 50% of wages in a wage period.
- A deduction for an unreturned asset needs a show-cause opportunity first.
- DPDP Rules duties on security and erasure apply from 13 May 2027.
What belongs on an offboarding checklist in India?
Five workstreams, each with a named owner and a date.
| Workstream | What closes it | Owner |
|---|---|---|
| Resignation and notice | Written acceptance with the last working day | Manager and HR |
| Knowledge handover | Signed handover note | Manager |
| Assets and access | Laptop returned, logins revoked | IT |
| Money | Full and final settlement paid | Payroll |
| Documents | Relieving letter and experience letter | HR |
Most delays start in the third row. An item logged at joining is easy to recover. One that was never logged becomes a dispute, which is why asset recovery belongs in the first week of notice.
How does the two-working-day rule change the offboarding timeline?
It moves the payroll work into the notice period, because there is no time left after the last day.
Let’s say an engineer’s last working day is Friday 30 October 2026. If your office works Monday to Friday, final wages are due by Tuesday 3 November. Waiting for the November payroll run would breach the Code on Wages on India Code.
So work backwards.
Freeze the leave balance and reimbursement claims a week before the exit, so payroll can compute the settlement while the employee is still around to answer questions. Collect the laptop on the last day. Pay on day two. Done.
Deductions have limits. Section 18 allows recovery of advances and of loss of goods expressly entrusted to the employee. But section 21 caps a loss deduction at the actual loss and requires a chance to show cause. The overall cap is 50% of wages.
An exit interview fits best in the final week, after the handover and before the last day.
What data duties apply when an employee leaves?
You must stop using personal data once its purpose ends, unless a law requires you to keep it.
Section 8(7) of the DPDP Act, 2023 sets that erasure duty, and the operative rules start on 13 May 2027. Payroll and statutory registers still have to be kept. Wage registers under the central wages rules run for five years after the last entry. Personal phone numbers, ID scans and exit notes, though, need a deletion date.
Revoke access on the last day too. Not a week later. Email, code repositories and client tools are where most leaks happen.

What else do people ask about employee offboarding?
What is the difference between offboarding and termination?
Termination is the legal act that ends employment. Offboarding is the process around any exit, whether a resignation, a termination or the end of a fixed term.
Can I withhold a relieving letter until the laptop comes back?
It is risky. Recover the value through a lawful deduction after a show-cause notice, and issue the letter once dues are settled.
How long should offboarding take?
The checklist should run through the notice period. Wages must reach the employee within two working days of the last day.
